Conference Logistics

Venue Search & Contract Management

  • Take the initial contact from the client and use our experience to develop a comprehensive conference brief. Commence venue search (including non Clubg venues) to conference venues that suit the required criteria.
  • Submit “same day” written quotations to the client in a format for ease of comparison
  • Initiate reservation and co-ordinate contract sign off
  • Schedule “key” contract dates for action
  • Conduct a post conference critique

On-site Logistics

  • Liaise with service providers; AV, Speakers, Exhibitors…
  • Prepare Event Run Sheet and co-ordinate with venue 
  • Provide conference assistance and help desk (with lap top and printer with a dedicated email address for use by conference personnel)
  • Provide registration desk
  • Source print and supply promotional material including Name Badges, Satchels etc…

Conference Assist

In addition to the services above we can also assist in the following capacity:

  • Attend client planning meetings, develop agendas and distribute minutes
  • Prepare conference timelines and maintain implementation schedule
  • Assist with program structure and provide conference facilitator
  • Ensure adherence to approval processes and submit appropriate reports to stakeholders
  • Manage sponsors and exhibitors
  • Conduct post conference review and prepare conference report
